Job Specification

Employer: Andover Town Centre BID Limited.
Responsible to: Andover BID Manager
Duration: Fixed term, until 31/03/2029 (Probationary period of six months). Possible extension beyond this point, subject to a successful renewal ballot.
Hours of work: Based on 15 hours per week (although this is negotiable depending on the experience of the candidate), with regular flexible working required, to include evening, weekend and occasional bank holidays to meet the requirements of the BID.
Holidays: To be proportionally allocated based on full-time (37.5 hour) equivalent of 25 days per year, plus 8 days for public holidays.
Salary: £13,600 per annum (which is a full-time equivalent of approximately £34k), with eligibility for a contributory pension following the probationary period.

Purpose of the Role

The Andover Business Improvement District (BID) is a not-for-profit organisation and works with over 240 town centre business members to improve the environment and provide additionality in the town.  The Events Coordinator will coordinate and deliver a successful events programme for Andover Town Centre, working closely with the BID Manager, Business Development Administrator, Test Valley Borough Council, and other stakeholders. This role involves planning, execution and evaluation of the communications and events strategy to enhance the town’s profile and benefit BID levy payers.

Key Responsibilities

Annual Planning

  • Develop and maintain an events plan to engage businesses and the public.
  • Identify and create new events aligned with the BID’s strategy.
  • Maintain and update an events calendar to ensure coordination among businesses and stakeholders.
  • Assist BID levy payers in leveraging events for business promotion.
  • Oversee event production from initial proposal to execution and evaluation.

Event Planning, Promotion & Execution

  • Develop project plans and budget requirements for each event.
  • Complete booking forms and risk assessments in advance of events.
  • Identify and secure additional funding through grants and sponsorships.
  • Facilitate cross-promotion of key events to benefit BID levy payers.
  • Collaborate with other event organisers to attract and retain visitors throughout the town centre.
  • Ensure appropriate marketing and promotion of events in collaboration with the BID Manager and team.

Event Evaluation

  • Maintain attendance records and collect feedback from attendees and businesses.
  • Conduct post-event evaluations and debriefs to improve future events.
  • Update checklists, templates, and project plans for streamlined event execution.
  • Acknowledge and thank performers, sponsors, and stakeholders post-event.

Administration

  • Update details on members’ database and CRM system regularly.
  • Regularly update the InAndover website with business information, offers, and events.
  • Organise and attend multi-partner meetings and events as necessary.
  • Identify opportunities for BID members to engage and contribute to BID initiatives.
  • Work collaboratively to enhance the impact and success of Andover BID.
Person Specification

Essential Skills & Experience

  • Medium to large scale event planning/running experience.
  • Ability to work independently and proactively solve problems.
  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and OneDrive.
  • Excellent interpersonal, verbal, and written communication skills.
  • Highly organised with strong attention to detail.
  • Strong time management and ability to prioritise multiple projects.
  • Strong networking and relationship-building abilities.
  • Outgoing personality with a flexible, ‘can-do’ attitude.

Desirable Skills & Experience

  • Experience in project and budget management.
  • Confident in using Canva or a similar tool to assist in creating marketing materials.
  • Experience working with membership organisations.
  • Valid driver’s license.
